Purpose: This procedure demonstrates how a Department user processes an administrative action for an obligated discretionary or formula award in the case that the Department receives a request outside of the G5 system.  An administrative action, also referred to as an admin action, is one or many changes to an award’s details such as UEI number, Address and/or Budget Period Dates.  Department users can perform one or many admin actions at one time and G5 will treat the multiple changes as one admin action.  An admin action requires the user to print the GAN to save the changes.  The only exception to this rule is if the admin action is a change from the ‘Others’ category.  Printing the GAN for ‘Other’ admin actions is optional.  Also, a pending ‘Other’ admin action is the only admin action that will not prevent internal users from performing actions on the same award such as supplements or grant transfers.  The types of admin actions available are:   

The admin action for Dates Change enables you to modify the budget period end date of a selected award number.  If the budget period being modified is the last budget period, the admin action will be a no-cost time extension which extends the performance and budget periods.  If the budget period being modified is not the last budget period, then it is a project date change which extends the current budget period without having to extend the performance period.
